Application Procedures:

Please select your elective carefully as switching or canceling electives once they are booked is discouraged. If it is absolutely necessary to cancel an elective, you must notify the department coordinator and/or the preceptor in writing at least 6 weeks before the start of the elective. Failure to adhere to the above policies will be considered a breach of professionalism and may be reported to the Director of Electives and the Associate Dean Undergraduate Medical Education for follow up.

Guidelines for 4th Year Electives University of Ottawa Medical Students

Each student is required to complete a total of 18 weeks before the end of 4th year.

Note that there is no scheduled elective time in the 3rd year program.

The only electives that will be counted toward your 18 week requirement are those who have been approved and successfully completed and for which you have entered in the Clinical Placement website and for which evaluations have been received. Any changes to your registered approved electives must be done through your Clinical Placement account in entering a new “Request approval for an Elective”.   Then you must delete the entry that is no longer valid.  You must comply with the deadlines provided.

It is anticipated that your first 10 weeks of electives will be done in a Canadian Medical School.

  • All electives must be done in a grouping * (Except for the research electives and the anatomy course which are non clinical electives)
  • Student must do a minimum of 3 groupings with a minimum of 2 weeks in each grouping
  • After week # 10 (between Nov. and March), student must do a minimum of 4 weeks outside The Ottawa Hospital (TOH)

NEW: Approval Procedures for all 4th year Electives

In order to meet the Accreditation requirements, all electives must be pre-approved by the Faculty of Medicine, Undergraduate Medical Education Office (Liaison Officer Year 4) in order to be eligible and credited.

Students must request an approval for all their electives through the pre-approval system on the Clinical Placement website.

All requests must be made at least one month prior the start of any elective.  This will be monitored regularly.

If a student does not have a pre-approved elective in their Clinical Placement account 2 weeks prior to a given date, it will be brought to the attention of the clerkship director. 

IMPORTANT: An elective cannot be started if it has not been pre-approved and will not be credited if a student does not comply with this procedure.  If a student does an elective without having it pre-approved, it will potentially be considered a professionalism issue and will be brought to the attention of the clerkship director. 


Clinical Placement site

You are required to request approval for all placements you wish to do.  Please follow these steps:

  1. Plan/Find your elective as you would normally do
  2. Link to the entry page:  CLICK HERE
  3. Username and password are same as the one you use to access your ONE45 account
  4. Open your file by choosing Clinical Placement
  5. Choose: «Request approval for an elective»
  6. Make sure to complete all sections of the form and Save
  7. Once the Medical Education Office has approved your placement (in a delay of 48-72 hours), your Clinical Placement file will automatically be updated

You MUST request approval of your placement prior to the start of the placement. 

 

Procedures for planning your Electives

  • To inquire about different possibilities for electives, consult the Electives Catalogue (see Table of Content on left margin), Association of Faculties of Medicine of Canada (http://www.afmc.ca) or rural networks.
  • Contact the Supervisor or appropriate Department Coordinator in Ottawa (see link below for list) and/or the appropriate Electives coordinator for electives in Other Canadian Universities (see link below for list) to ensure availability and feasibility of elective for dates and duration requested.
  • Please note that your supervisor must be a practicing physician, not a resident.
  • Electives cannot be done with a member of your immediate family, extended family or your in-laws, by anyone with whom you are involved in a close personal relationship and your personal physician or clinic.  This would be considered to be a conflict of interest.  We trust that this policy will be respected.
  • It is expected that all 4th year students will be in Canada and continental USA on CaRMS Match Day.  That being said, electives abroad are not permitted during that period.  This is to ensure the students’ ability to be easily contacted and their ability to be able to urgently return to Ottawa should the need arise.  Our concern lies in the event of an "unmatch" and timelines involved in the "unmatch" process that require less than 24 hours turnaround as we do get some "unmatch" surprises.

Student must submit the request to the Liaison Officer 4th Year (medyear4@uottawa.ca) at the Undergraduate Medical Education Office (Room 2046). The requests must be approved by the Director of Electives.  Take note that a research elective is not part of any grouping.

  • You may also obtain the Clerkship Elective Evaluation Form at the Undergraduate Medical Education Office (Room 2046).
  • After completion of each elective, the student must ensure that the Evaluation Form is completed and signed by the supervisor and herself or himself.  The evaluation must be returned shortly after each elective to the Liaison Officer 4th Year, Undergraduate Medical Education Office (Room 2046).
  • Enter your electives on your Clinical Placement account with accuracy.  Your evaluation will be matched with the appropriate entry upon receipt.

Insurance:

Registered students at the University of Ottawa are covered for malpractice insurance and Comprehensive General Liability with the limit per occurrence of $5 million (Canadian) inclusive for bodily injury, personal injury and property damage as described in detail in the policy.

Appropriate Appearance at Clinical Encounters:

We strongly encourage you to familiarize yourself with the guidelines regarding appearance while encountering patients. You may do so by consulting the Student Guide under paragraph 8.7.
