Canadians Studying Medicine Abroad (Canadian Medical Students enrolled in a LCME American Medical School (United States) AND Canadian Medical Students studying Abroad (outside of Canada and the United States) who wish to apply to undertake an elective at the Faculty of Medicine, University of Ottawa should note the following requirements and guidelines. Individuals not adhering to the following procedures will not be permitted to complete an elective:
- All placements must be made through the Electives Office to ensure registration at the University of Ottawa. Visiting Medical Students MUST NOT contact the departments nor the hospital coordinators directly to reserve a time for an elective.
- Because of the very high number of applications we receive, we cannot inquire about availabilities until we receive your complete application.
- Only students registered in the FINAL year of their medical program (NOT INCLUDING POSTGRADUATE TRAINING) at the time when the elective would take place are eligible to apply for an elective at the University of Ottawa.
- Please note that only electives undertaken for academic credit will be processed. The Elective Program is entirely educational and no salary is paid.
- It is expected that elective students function as part of a clinical service: i.e. taking histories, performing physical examinations, formulating differential diagnoses and providing documentation as an integral part of the clinical team. There may also be an expectation of on call duties, depending on the elective rotation.
- For the current academic year, electives are offered from March 12, 2012 until August 10, 2012 ONLY.
- Electives are available for a maximum of TWO to FOUR weeks in one academic year. There are no exceptions to this maximum duration.
- COMPLETE APPLICATION must be received by Post/Courier (no fax transmissions).
- Submission of elective request does not guarantee a placement. Placement in a hospital/department is dependent upon availability of space during the requested elective period.
- Receipt of application will be acknowledged by e-mail only.
- Receipt of fees and application does not guarantee confirmation of placement.
- All specialties are offered to visiting elective students, dependent on availability.
- Applicants must be fluent in English.
- Elective changes are not permitted. If you choose to change your department or preceptor, your application will be cancelled.
- Student will uphold and protect patient confidentiality and dignity at all times, both in the presence and absence of the patient or family, in all communications including medical records, discussions, history taking, and physical examinations.
- Applicants must make their own arrangements for traveling, accommodations and lab coats. You may consult the Housing for Rent list.
- ONLY once it has been confirmed that student complies with all requirements, will he/she be sent an official confirmation by the Electives Coordinator. You will be asked to promptly reply to the Electives Coordinator, whether you accept or refuse the elective.
- Should you decide to cancel the elective period once it is confirmed, you will be required to notify us at least six weeks prior to the commencement of the elective period. There will be no refund. Once confirmed, if it is absolutely necessary to cancel an elective, you must notify the Electives Coordinator by email at least 6 weeks before the start of the elective. Failure to adhere to the above policies will be considered a breach of professionalism and may be reported to the Director of Electives and the Associate Dean Undergraduate Medical Education for follow up.

A complete application must include the following documents:
- 3 page Application Form for Canadian Medical Students enrolled in a Medical School Abroad
- (Requested dates (no more than 4 weeks)- please indicate the specific dates of the elective from the beginning to the end (Monday to Friday).
- Requested department/specialty (Choose up to three (3) electives from the Electives Table of Content on the left of this page.
- Immunization Record for Visiting Medical Students (Failure to submit a complete immunization form with your application may result in a refusal of your application)
- Registration – Special Student (All Visiting Medical Students must fill out this form)
- Students must provide proof of a Police Records Check for Service With the Vulnerable Sector dated within 12 months of the start of the elective to confirm that there are no criminal convictions, no outstanding charges and that the person has not been involved in any police incidents related to the five year address history provided by the person. The original document is required.
- Malpractice and Liability Insurance: Students studying at a school outside Canada must provide a copy of the certificate of insurance from their home school.
- Payment Guidelines: The Elective fee is 300$ per elective and 114$ for UHIP (University Health Insurance Plan) for a total of 414$. Please do NOT send any money or cheque. Once your elective application is received, you will be asked to make your payment online. A Notice of Receipt will be emailed to you including guidelines on how to proceed. NOTE: The application fee is an administrative fee and is NON-REFUNDABLE even in the event an elective placement is not found. Electives that are cancelled by the student are non-refundable.
- Photocopy of your home school student card: Please note that you will need to present your student card to the hospital department upon your arrival.
